The Club currently uses Constant Contact for club email blasts. This is a third party marketing company that specializes in mass email distributions. Club email blasts appear to be sent from the communications@solivitasmashers.com email address.
The editor of the newsletters should whenever possible submit prospective emails to another board member for proofing before sending it out.
The Club editor should be informed of any issues pertaining to the club and necessary for communicating at least 24 hours before it needs to be sent. The Club editor should know that there are emergency issues that must go out immediately and conform to those requirements.
The Club editor will communicate with any other board members, committees, trainers, activities, etc. and send out any necessary and appropriate emails in their behalf. The club editor will maintain current paid member emails for the email blasts in coordination with the Treasurer/Membership chair, and maintain separate Captains mailing lists in cooperation with the Scheduler. Any other appropriate separate emailing lists may from time to time be maintained and kept up to date as needed
All Club communications need to be pertinent to the Club, with no politics, non-Solivita issues, information on other clubs within Solivita, other than possibly helping another club with a charity drive or other important applicable information.
The editor will actively consult with other board members and committees to ensure any necessary email blasts are distributed on their behalf, such as but not limited to, reminders of upcoming events, guidelines, safety issues, nominations, court closures, elections, payment due dates for dues, etc.
The Training advisor produces separate emails for training and clinics and must conform to the same club rules. He/she should coordinate with any board seat or advisor that is assigned to Training.
