The nomination committee will identify suitable candidates for various director positions. A nominating committee is a group formed for the purpose of nominating candidates for office or the board in an organization. It will consist of two members in good standing, and at least one seated current board member.
Committee Responsibilities and Duties
- It is the responsibility of the committee to secure candidates for the ballot and present a slate of qualified, acceptable candidates to the board for approval and to the membership for a vote.
- The committee members shall consider discussions related to potential nominees to be confidential. Committee members are prohibited from disclosing potential and final nominees to the membership prior to announcement.
Committee Chair Responsibilities and Duties
- Review the policies and procedures of the nominating committee with the committee members
- Work with committee to develop a calendar to include:
- Final date for receipt of nomination.
- Deadline for distributing all potential nominee information.
- Date to present slate of candidates to board for approval.
- Deadlines for receiving, and counting ballots.
- Deadline for notifying all candidates of the election results via phone.
- Ensure all potential nominees are notified of final ballot
- Attend all nominating committee meetings, insuring that a ballot is prepared in accordance with the Bylaws. The ballot should include at least two candidates for each position if possible.
- Refer names of individuals not selected for the ballot to the president-elect for consideration for committees.
- Present the election results to the membership at the Annual GMM Meeting.
Candidate Recruitment and Selection
- Candidate solicitation shall begin with a Call for Nominations published on the website in September, and in several email blasts. A reminder email notification will be sent two weeks prior to the deadline. The nominating committee will actively recruit potential nominees during this time and report to the Email blast editor for inclusion in an email blast at appropriate times
- The committee will review and discuss potential nominees for each office. After thorough review and discussion, the ballot shall be prepared for board approval in December.
Ballot and Elections
The Solivita Smashers Board of Directives election shall be held during the January General Membership Meeting. Directors shall be elected by a plurality of the votes cast by secret ballot during the January General Membership Meeting. Solivita Smashers members in good standing shall have one vote to cast either in-person at the January General Membership Meeting or by submitting an absentee ballot. Newly elected Directors will be confirmed and announced after votes are counted and recorded during the January General Membership Meeting in which they we elected.
